Sound familiar?

“Where is my survey?”

  • Hi, it's Dana at Lone Oak Title. Checking on the Mill Creek survey, closing is Friday.
  • Let me find out where that one is and call you back.
  • That's what you said Tuesday.

The answer is usually stuck at a hand-off

A survey job changes hands four or five times between the order and the recorded plat. On a whiteboard or a spreadsheet, nobody sees the one that stopped.

  1. Order to field

The order came in by email and never made it onto the whiteboard, so no crew was booked.

  2. Field to drafting

The crew finished Thursday. The notes sat in the truck, and nobody told the drafter to start.

  3. Signed to county

The plat is signed and stamped, then waits in a folder because nobody owns the trip to the recorder.

  4. Rejected at the county

The recorder kicked it back for a margin or a missing signature, and the reason lived on a sticky note.

Survey job management software, stage by stage

One record that follows the job from the title company's order to the recorder's stamp

  1. Order

A survey job board with every stage on it

Ordered, research, scheduled, in field, drafting, review, signed, recording, delivered. Move a job with one tap and the whole office sees it. Jobs sitting in one stage for two weeks get flagged, and so do jobs past their due date.

  2. Field

Survey crew scheduling by the week

Book field days for each crew chief, see who is on which job this week, and reassign a day in one tap. Crews mark a day completed, rained out or needing a return trip from their phone.

  3. Field

A monument log the next crew can search

For every corner: found, set, reset, disturbed or not found, the monument type, the cap inscription, its condition, a photo and GPS. Search it by county, address or cap before you go back to the same block.

  4. Office

Drafting that starts when the field work ends

When the last field day on a job is marked completed, the job moves to drafting by itself. The drafter works from the same record: legal description, parcel ID, field notes and monuments.

  5. County

    A plat recording tracker

Ready to submit, submitted, rejected or recorded, with the submitted date, how long it has been at the county, the rejection reason, and the recording number and book and page once it records.

  6. Client

Status your clients can check themselves

Send a title company a read-only link that always shows the job's stage, due date and recording number. On Firm, repeat clients get their own login to every job ordered under their email.

    Step 1

    Add your jobs

Enter orders as they come in, or import the job log you keep in Excel or Google Sheets.

  2. Two-person survey crew in hi-vis vests, one at the total station and one holding the prism rod

    Step 2

Invite the crew and the drafter

Crew chiefs see only their own jobs; your drafter sees the whole office board.

  3. Surveyor in a safety vest checking a data collector beside a robotic total station set up in a parking lot

    Step 3

    Let the board move

Crews log field days and monuments from the truck; the office takes the job through drafting and the county.

Questions surveyors ask before switching from the whiteboard

In the office

  • What is survey job management software?

It is a shared job list for a survey firm: every order with its client, property, county and due date, and where it stands between the field, drafting and the county recorder. PlatTracker does that for small firms with one licensed surveyor, a few field crews and a drafter or two, without the estimating, accounting or CAD of the larger suites.
  • Does it replace my CAD or data collector software?

No. PlatTracker keeps the job record around your drawings: stages, crews, field days, monuments and recording. Your field data and drawings stay in the software you already use.
  • Can I import my job log from Excel?

Yes. Save the sheet as CSV with one row per job (job number, client, address, county, survey type, dates, stage) and import it from the job board. You can export jobs, field days, monuments and recordings to CSV at any time.
  • Is there a free trial?

Every plan starts with a 14-day trial, no card needed. After 14 days your records stay readable and exportable until you pick a plan.

In the field

  • Can I schedule survey crews by week?

Yes. The crew schedule shows the week day by day with each crew chief's field days. Book a day on a job, move it to another crew chief, and see which jobs need a return trip with nothing booked.
  • Can crews use it on a phone in the field?

Yes. It runs in the phone's browser. Crew chiefs see this week's jobs, mark field days completed, rained out or needing a return, and log each monument with a photo from the camera and the phone's GPS position filled in with one tap.

At the county and with clients

  • How do I track plat recording with the county?

Every job can carry a recording entry: the county, the date it was submitted, its status (ready to submit, submitted, rejected or recorded), the rejection reason, and the recording number and book and page. The recording queue lists every plat waiting at a county and signed plats nobody has filed yet.
  • Can title companies check their own jobs?

Yes. Turn on a job's status link and send it, or on the Firm plan invite the title company or attorney as a client login. They see stage, due date and recording number for jobs ordered under their email, and nothing else.
